F.A.Q.

How do I schedule (“flex in”) an appointment?

Appointments are scheduled using the Ocean Friends app or by calling the office.

 

To use the Ocean Friends app:

Step 1: Open the Ocean Friends app and go to “Find Slots”
Step 2: View available appointments (up to 10 business days out)
Step 3: Select a time and tap “Request”
Step 4: Watch for text messages confirming whether the appointment is approved
Step 5: Check the app to confirm your scheduled appointment

Important Reminders:

  • Requests are reviewed and approved in the order they are received

  • Appointments are not guaranteed and depend on availability​​

  • Requests will be automatically denied if the appointment start time is within 1 hour

  • You are responsible for tracking scheduled appointments in the app

  • Attendance policies still apply (late arrivals, cancellations, no-shows)

  • If you experience any difficulty using the app, call the office!

 

How will I know if my appointment request is approved?

You will receive:

  • A text confirming your request was received

  • A second text confirming whether the appointment was approved or declined
     

Approved appointments will appear in the Ocean Friends app.

 

Am I responsible for knowing my child’s appointments?

Yes. It is the family’s responsibility to:

  • Monitor the Ocean Friends app

  • Review text notifications

  • Know when appointments are scheduled

Missed appointments still count toward attendance requirements!

 

What if I need to cancel or reschedule a flex appointment?

  • All cancellations and reschedules follow the Attendance Policy Summary.

  • Late cancellations, last-minute reschedules, and no-shows still count as attendance infractions.

What is the Flexible Scheduling Plan?

The Flexible Scheduling Plan means your child does not have a consistent weekly therapy time. Appointments are scheduled only when openings are available, and families “flex in” to open spots as they appear.

 

Why is my child on the Flexible Scheduling Plan?

A child may be on the Flexible Scheduling Plan for one of the following reasons:

  • There are currently no permanent weekly openings that match your availability

  • A permanent schedule was offered, but the family chose not to accept it

  • The child lost their permanent schedule due to attendance infractions

 

Is my child still receiving therapy on the Flexible Scheduling Plan?

Yes, as long as minimum attendance requirements are met and appointments are scheduled when openings are available.

 

Does being on the Flexible Scheduling Plan guarantee a permanent spot later?

No. Permanent schedule spots are limited and based on availability, attendance history, and consistency. Families who maintain strong attendance are prioritized when openings occur.

What is the minimum attendance requirement on the Flexible Scheduling Plan?

To remain active on the Flexible Scheduling Plan, your child must:

  • Attend at least one visit every two weeks, per therapy type

  • Follow all attendance rules (late arrivals, cancellations, no-shows)

  • Use approved scheduling methods (Ocean Friends app or calling the office)

 

What happens if the minimum attendance requirement is not met?

Your child will be discharged from therapy services if:

  • The minimum attendance requirement is not met

  • Two attendance infractions occur in the same calendar quarter

  • Your child is on the Flexible Scheduling Plan due to past attendance infractions and has one additional infraction
