Effective January 1st, 2026
Submit 2026 Agreements & Provide Updated Information

Your child cannot be seen for therapy appointments in 2026 until:

All new year agreement forms have been signed & submitted​

Clear images of the front & back of each insurance card have been uploaded

A saved payment card has been added on file* (read more below)​

All steps listed above must be completed using the Ocean Friends app (or website)

Notification of Insurance Changes​

You are required to provide information about your child's 2026 insurance coverage while filling out new year forms on Ocean Friends. You must:

Provide information about primary & secondary coverage (if applicable)​

Provide clear images of the front & back of all insurance cards
-

You are responsible for any "unexpected" costs resulting from a failure to provide updated insurance information before January 1st, 2026.

Notifying the billing team (by leaving a detailed voicemail) about changes to your child's insurance coverage will help expedite the process.

Payment Cards Required

A payment card is required to be kept on file if a patient responsibility amount is due, even for families with Medicaid coverage.​

*May only be deferred by clients with Medicaid as their primary insurance coverage the the patient responsibility amount due = $0

Automatic Payments

Payments will be automatically collected at check-in.

The amount collected = the patient responsibility estimate provided by your insurance.

Scheduling Using The Ocean Friends App

Appointments can no longer be cancelled using the Ocean Friends app.

You must call to speak to the scheduling team if you need to cancel.

Appointments may be rescheduled using the Ocean Friends app up to 4 hours before.

If you need to reschedule with less than 4 hours notice, you must call the office to speak to the scheduling team.

Last minute reschedules will result in a scheduling infraction on your child's attendance record with a $50 fee.

Scheduling Expectations​

Attendance will be monitored daily & assessed frequently.

CTS will continue tracking the frequency of scheduling infractions & will be monitoring the overall number of sessions actually attended per calendar quarter for each child.

Each child must follow the attendance / flexible scheduling policies to remain an active patient with CTS.
