Attendance & Scheduling

Quick Guide

 

 

Attendance is monitored every day. Attendance totals are calculated over 3-month periods (each quarter) for each therapy type:

  • Speech Therapy (ST)

  • Feeding Therapy (FT)

  • Occupational Therapy (OT)

  • Physical Therapy (PT)

At the start of each new quarter, attendance totals reset.

 

Our Expectations

To keep your child on a permanent therapy schedule, families must:

  • Attend at least 85% of scheduled visits

  • Be on time

  • Communicate clearly when changes are needed

  • Avoid attendance infractions

 

What Counts as an Attendance Infraction?

Your child loses their permanent appointment

Late Arrival / Return

Scheduling Infraction Description:

​

  • Arrivals more than 7 minutes late

  • Not returning within 10 minutes staff calls

  • Picking up your child late

​

Fee Amount = $25

Scheduling Rules

 

Attendance Requirement (Per Therapy Type)

  • 2 visits per week: You must attend 20–22 visits per quarter

  • 1 visit per week: You must attend 10–11 visits per quarter

If attendance drops below 85% =

your child cannot stay on the permanent schedule.

 

Being On Time & Available

  • Arrive on time (5 minutes early is best)

  • Bring anything your child needs for therapy

  • If you wait outside:

    • Keep your phone with you

    • Stay close enough to return within 10 minutes

  • Come inside for pickup 5 minutes before the session ends

  • Arriving more than 15 minutes late = No-Show

 

Rescheduling & Canceling

  • Reschedule when possible instead of canceling

  • Use the Ocean Friends app or call the office

  • Rescheduling under 4 hours = Last-Minute Reschedule

  • Cancellations after 7:30 a.m. = Same-Day Cancellation

  • Always call and leave a voicemail if staff is unavailable

Consistent attendance helps your child:

  • Make progress

  • Keep their therapy spot

  • Avoid extra fees
