How to Schedule Appointments (“Flex In”)

Open the Ocean Friends app

Tap “Find Slots”
-
View available appointments (up to 10 business days ahead)

Select a time and tap “Request”
-
Watch for confirmation texts

Text #1: Request received
-
Text #2: Approved or declined
-
Only approved appointments appear on your schedule.

Appointments are not guaranteed and depend on availability

You are responsible for tracking scheduled appointments in the app

Attendance policies still apply (late arrivals, cancellations, no-shows)

What Is the Flexible Scheduling Plan?
The Flexible Scheduling Plan is for families who do not currently have a consistent weekly therapy time. Appointments are scheduled only when openings are available.
This option helps us offer therapy access when permanent schedule spots are full or when attendance consistency is still being established.
Who Is the Flexible Plan For?
Your child may be on the Flexible Scheduling Plan if:

There are no permanent openings that match your availability

You chose not to accept a permanent time that was offered
-
Your child moved from a permanent schedule due to attendance concerns
Minimum Requirements to Stay on the Flex Plan
To remain active on the Flexible Scheduling Plan, families must:
✔ Attend at least 1 visit every 2 weeks (per therapy type)
✔ Follow all attendance policies (late arrivals, cancellations, no-shows)
✔ Use approved scheduling methods (Ocean Friends app or calling the office)
When Does a Child Lose Their Spot?
Your child may be discharged from services if:

The minimum attendance requirement is not met

Two attendance infractions occur in the same calendar quarter

Your child is on the Flex Plan due to prior attendance issues and has one additional infraction
What Is “Probation”?

If your child was moved to the Flex Plan because of attendance issues, they are considered on attendance probation.

One additional attendance infraction during this time will result in discharge from services.
If my child was moved to flexible scheduling due to attendance infractions, can they return to a permanent schedule?
Yes. To be eligible to return to permanent scheduling, your child must:

Attend at least one visit per week
-
For 6 consecutive weeks
-
For each therapy type
-
Be advised: Permanent spots are limited and offered based on availability and attendance consistency.
